Distance worked out from the readings, not typed in
The claim is built from the same trusted positions that produce everything else. Nobody adds up a route by hand and nobody has to check that they did.
- Only readings that passed the trust test contribute to the distance.
- Jitter while parked is excluded rather than accumulating into a few free kilometres.
- The route behind a claim is openable, so a number can be looked at.
The excluded number is shown on purpose. A tracker that silently counts car-park drift is one that overpays every day.
The claim
Claimed against actual, side by side
A worker can still claim what they believe they drove. The point is that the recorded figure sits next to it rather than instead of it.
- Home-to-first-site handled by your own rule, commutable or not.
- Differences over the threshold you set are raised for a look, not auto-refused.
- Rates per worker, per vehicle, or per client, whichever you actually bill on.
Paying it
Straight into the same run as the hours
Mileage leaves in the same export as the timesheet, so the office is not reconciling two files that disagree about the same week.
- One file per pay run, or split by cost centre if that is how you post it.
- Fuel-card and per-kilometre schemes both handled, including changing mid-year.
- Every historical rate is kept, so an old claim recalculates the way it was paid.

Your rate per mile
Set the rate once. The claim is the measured distance at that rate, so the arithmetic is never in question.
One claim per person per day
A day can only be claimed once. A second attempt is refused rather than quietly creating a duplicate.
The evidence rides along
The claim carries the day it came from, so an approver can look at the route rather than take the number on trust.
Very short days
If the day’s trusted distance is under half a kilometre, no claim is created at all and the app says so. A zero-distance claim is a wrong answer, not a free one.

How is the distance worked out?
From the day’s location readings, using only the ones we trust, and ignoring long gaps where the phone was not reporting. It is the distance actually covered, not a straight line between sites.
Can a driver edit the number?
No. The figure is derived, not entered. A driver requests the claim; the number comes from the day.
What rate does it use?
Whichever rate per mile you set for your workspace. We do not set it for you, and we do not give tax advice — check the current rate with your accountant.
What if someone barely moved?
If the trusted distance is under half a kilometre, no claim is created and the app tells the worker why.
Can a fake location inflate a claim?
No. Readings flagged as fake are left out of the distance entirely, so the claim is built only from what we are prepared to stand behind.
